Job Description:

The Facilities Services Administrative Assistant provides support to the Director of Facilities Services and works in cooperation with the Human Resources Department and Facilities Management Group.

This is a part time position- 16-19 hours/week

  1. Provides administrative support to the Director of Facilities Services.

  2. Assists with staff satisfaction initiatives such as employee anniversary cards, co-worker kudos and the weekly newsletter.

  3. Participates in New Employee Orientation as assigned.

  4. Coordinates various meetings for the Director of Facilities Services such as the Building and Grounds Committee and the Human Resources Performance Improvement Committee including setting up meetings, notifying participants, and writing minutes.

  5. Takes on special projects as assigned such as researching and making recommendations on major purchases.

  6. Miscellaneous filing and data entry.

  7. Contribute to the development and maintenance of Agency records through the timely completion of assigned documentation in accordance with applicable licensing and accreditation regulations and standards.

  8. Attend scheduled staff meetings, supervision, and on-going training.

  9. Maintain current all required trainings, certifications and licensure in accordance with applicable licensing and accreditation regulations and standards.

  10. Respect the privacy of clients and hold in confidence all information obtained during the client's treatment. All client-related documents should be handled in accordance with Agency guidelines on confidential material.

  11. Maintain confidentiality with regards to sensitive employee information obtained during and after employment.

  12. Maintain high standards of ethical and professional conduct and adhere to Agency policies and procedures.

  13. Other duties as assigned by management.

A Bachelor's degree or equivalent combination of education and work experience is preferred.
