Admin Assistant to Managing Dir, Full Time, Administration, INTEGRIS Corporate Job Code: 8503 Position Summary: The Administrative Assistant to the Managing Director provides secretarial and administrative support, and monitors and directs clerical work flow within the division. Essential Functions: The Administrative Assistant to the Managing Director responsibilities include, but are not limited to, the following: * Provides receptionist, clerical and administrative secretarial support * Greets customers and handles and/or facilitates problem resolution * Types and copies, schedules appointments, coordinates meetings, arranges corporate travel, records minutes of corporate meetings, screens and redirects mail, orders supplies, prepares requisitions and work orders, and files/maintains files * Coordinates the preparation of budgets, reports, data collection, data entry, data research and analysis, programs, and distribution of reports Accountability: The Administrative Assistant to the Managing Director reports to the Managing Director Required Physical Demands (Subject to Reasonable Accommodation): Keyboarding/Dexterity: Frequently; activity exists from 1/3 to 2/3 of the time Standing/Walking: Occasionally; activity exists up to 1/3 of the time Strength (Lift/Carry/Push/Pull): Sedentary (exerting up to 10 pounds of force occasionally) Talking (Must be able to effectively communicate verbally): Yes Seeing: Yes Hearing: Yes Color Acuity (Must be able to distinguish and identify colors): No This position may have additional or varied physical demand and/or respiratory fit test requirements. Qualifications: * High School diploma or equivalent * Bachelors Degree and 1 year of experience or Associates Degree and 3 years of secretarial experience or 5 years secretarial experience * Training in secretarial procedures either through formal education or by experience *Previous experience working with Physicians and clinical staff strongly preferred *Excellent organizational, communication and customer service skills preferred *Desire to learn new skills for future advancement within the role preferred * Experience with Microsoft Office( Excel, Powerpoint preferred) * Must be able to communicate effectively in English
